From a practice on Hero
I want to say that all of your support has been very concierge level and that the support has been worth you charging for that.
It’s not even necessarily onboarding support, but rather you’re providing AI optimization guidance that is a game changer. I’ve been mentioning Hero to a few other providers that may be reaching out. There have been a lot of posts about how to “automate” their processes. The level of add-ons and stacks that they’re doing is wild.
Also — Hero did something the other day that completely blew my mind. A referral was faxed to me. Hero processed it, made a chart, and text them to call for an appointment. I don’t know how you packed all that wizardry into this EMR.
I’ve had to let go of two VAs and I’m just amazed at how things are actually getting done by this system while I’m seeing patients — something I couldn’t get paid people to do. Hero has literally replaced my “workbook”/Google Sheets with 10 spreadsheets for tracking referrals, intakes, tasks, insurance related problems, etc.
Pay for these only if you use them
Billing, payments, fax and phone are optional. They are added to the $200 only when you switch them on.

*RCM contracts are negotiated based on specialty and payer mix. 2.5% is typical for most practices; practices collecting over $1M a year qualify for discounted rates, and payer mixes with high denial rates may be priced higher. The fee applies to what is actually collected, never to billed charges, net of refunds and recoupments, and there is no monthly minimum.

Questions about pricing
Who counts as a prescriber?
Physicians (MD or DO), nurse practitioners, physician assistants and any other clinician with prescribing authority who has an active account. Everyone else on your team, including front desk staff, medical assistants, nurses, therapists, counselors and dietitians, uses Hero at no charge. Prescribers are prorated in the month they join or leave.
Is anything metered?
Only the optional services: fax pages beyond 500 a month, phone talk time beyond 25 hours, AI phone agent hours, and the percentage fees for revenue cycle management and patient payments. Ambient dictation, text messages, portal accounts, EPCS prescriptions, fax OCR, RPM devices and outreach campaigns are unlimited.
How is revenue cycle management priced?
For most practices, 2.5% of collections on claims billed through Hero. RCM contracts are negotiated based on specialty and payer mix: practices collecting more than $1M a year qualify for discounted rates, and payer mixes with high denial rates may be priced higher. The fee is calculated on what is actually collected, never on billed charges, and there is no monthly minimum. Full-service billing companies typically charge 5–7% of collections.
Do you really work denials and prior authorizations?
Yes, as part of Hero RCM. Our team reviews every denial, corrects and resubmits claims, follows up with payers and files appeals. We also prepare and submit prior authorizations for procedures, services and medications and follow each one to the payer's decision. Your clinicians keep the clinical calls: we never change codes or documentation without your approval, and peer-to-peer reviews stay with your physician. No one can guarantee how a payer will decide, and we don't either.
What does PDMP setup involve?
Most states require prescribers to check the prescription drug monitoring program before prescribing controlled substances. We help you register with your state's PDMP and turn on the checks your state requires, at no charge. Read the PDMP setup guide.
Can I use Hero without Hero billing?
Yes. The $200 per prescriber covers the complete EMR on its own. Keep your current biller or billing company and add Hero RCM whenever you are ready.
Is the website really included?
Yes. Every subscription includes a custom practice website with online booking that we design, build and host at no extra cost, and you own it.
Are there long-term contracts?
No. Hero is month-to-month with a thirty-day termination right. Our own rates are locked for twenty-four months, but that is a price guarantee, not a minimum, fixed or initial subscription term.
How does Hero compare to other EMR pricing?
Most EMRs charge $300–$800 per provider per month and then charge extra for AI features, patient messaging and integrations, and full-service billing companies typically take 5–7% of collections. Hero is $200 per prescriber with dictation, texting, portal accounts, EPCS, outreach and RPM unlimited, and Hero RCM, with denial management and prior authorizations, typically runs 2.5% of collections.
